Terms and Conditions

These Terms and Conditions form a legally binding agreement between Himalayan Chemi Treks and Expedition (“we,” “our,” “the Company”) and you, the client. By confirming a booking with us, you acknowledge that you have read, understood, and agreed to all terms outlined below.

Booking & Confirmation

  • Bookings may be made through our official website, email communication, or authorized partners.
  • All trip prices are listed in USD. If you pay in another currency, the conversion rate set by Nepal Rastra Bank on the date of transaction will be applied.
  • A 30% non-refundable deposit is required to secure your booking.
    • If cancellation is made 21 days or more before your arrival date, the deposit becomes refundable as per our refund policy.
  • The remaining balance must be paid either:
    • During your pre-trip briefing in Nepal, or
    • In advance via bank transfer or credit/debit card.

Last-Minute Bookings

  • For trips booked within 10 days of the starting date, full payment is required immediately.
  • Last-minute bookings are subject to availability and operational considerations.
  • Payments for last-minute bookings are non-refundable.

Payment Methods

We offer the following payment options:

Bank / Wire Transfer

  • Bank details are provided upon request.
  • The client must pay all associated bank charges.

Credit / Debit Cards

  • We accept Visa, Mastercard, and American Express.
  • A 4% processing fee applies.

Cash

  • Accepted in USD, EUR, GBP, AUD, CAD, and select other major currencies.
  • For USD payments, only notes issued after 2009 and in denominations of $50 or $100 will be accepted.

Cancellation & Refund Policy

All cancellations must be submitted in writing via email and acknowledged by our team.

Cancellation Fees

  • 21 days or more before arrival:
    30% of the total trip cost is charged; the remaining amount is refunded.
  • 14–20 days before arrival:
    50% of the total trip cost is charged; the remaining amount is refunded.
  • Less than 14 days before arrival:
    100% of the total trip cost is charged; no refund.

If required, we will provide supporting documents for insurance claims.
Note: Banks may deduct service fees during the refund process.

Trip Rescheduling

  • Written notice is required at least 21 days before the original departure date.
  • A USD 200 per person rescheduling fee applies.
  • You may transfer your booking to another traveler; however, you are responsible for finding the replacement.

Unused or Incomplete Services

No refunds will be provided for:

  • Meals, accommodation, or services not used,
  • Early withdrawal from the trip for personal reasons,
  • Trip termination due to unlawful behavior.

Passport & Visa Requirements

Clients are responsible for:

  • Holding a valid passport with at least 6 months validity beyond return date.
  • Obtaining a Nepal visa (available on arrival or from diplomatic missions).
  • Paying all visa-related fees.

Unforeseen Circumstances (Force Majeure)

Certain events beyond our control may require itinerary changes, including:

  • Severe weather or natural disasters
  • Political unrest
  • Flight delays or cancellations
  • Road blockages or strikes

In such cases:

  • We may modify routes, schedules, or services.
  • You must pay any additional costs (alternative transport, extra accommodation, etc.).
  • We will assist as much as possible, but are not liable for extra expenses.

We strongly recommend purchasing comprehensive travel insurance.

Risk Acknowledgment

Adventure travel involves certain inherent risks such as altitude sickness, physical injury, illness, and unpredictable weather.

By booking with us, you:

  • Understand these risks,
  • Accept personal responsibility for your safety and belongings,
  • Agree that Himalayan Chemi Treks and Expedition will not be liable for injuries, damages, or losses incurred during the trip unless caused by proven negligence.

Travel Insurance (Mandatory)

All clients must have insurance that covers:

  • Medical emergencies
  • High-altitude evacuation (including helicopter rescue)
  • Trip cancellation or interruption
  • Accidents and personal liability

Proof of insurance may be requested before departure.

Domestic Flight Delays / Helicopter Services

  • Mountain region flights are frequently delayed due to weather.
  • If flights are canceled, helicopter services may be required.
  • The cost of helicopter transport is not included in trip packages and must be paid by the client, shared among passengers (up to 5 people).

Health, Fitness & Age Requirements

  • Clients must be reasonably fit for their chosen adventure.
  • You are advised to consult a doctor before high-altitude treks.
  • Any existing medical conditions must be disclosed at the time of booking.

Children:
Travelers under 16 years must be accompanied by a parent or legal guardian.

Privacy Policy

We collect personal information solely to process bookings and obtain necessary permits.
Your data will not be shared with third parties unless required by law or with your consent.

Use of Photos & Videos (Publicity Rights)

By joining our trips, you grant Himalayan Chemi Treks and Expedition permission to use photos or videos taken during the trip for promotional purposes without needing additional consent or compensation.

Complaints & Feedback

If you encounter any issues:

  • Please inform your guide or our office immediately.
  • We will do our best to resolve the matter promptly.

Delays in reporting may reduce our ability to address the problem.

Code of Conduct

To ensure a safe and enjoyable experience for all:

  • Respect fellow travelers, guides, locals, and the environment.
  • Follow local regulations and instructions from your trip leader.
  • Avoid any unlawful or disruptive behavior.

The Company reserves the right to terminate services without refund if you violate these rules.

Governing Law & Jurisdiction

All agreements, bookings, and disputes are subject to the jurisdiction of Nepal.

Any legal matters will be handled exclusively in courts based in:

  • Kathmandu District Court
  • Patan High Court
  • Supreme Court of Nepal
